2019 Annual General Assembly of Accept – LGBTI Cyprus

Sat, 14/12/2019 - 10:30
University of Nicosia, Room M-203 (Millennium Building)

Dear Members of Accept – LGBTI Cyprus,

Following the invitation sent regarding the Annual General Assembly of Accept  – LGBTI Cyprus on October 17th, we would like to inform you that the day of the Assembly is transferred one day before for Saturday, December 14, 2019 in Nicosia at 10:30 am in Room M-203 of the University of Nicosia.

This year, Accept’s Annual General Assembly will be open only to members of the organisation. There we will analyse the steps taken by the organisation in 2019 and the goals for the new year. The annual Electoral General Assembly to fill vacant positions of the Board of Directors will follow. New members, without the possibility of voting in this electoral process, can register at the general assembly.

The topics up for discussion during the Annual General Assembly are:

  • Presentation, discussion, and approval of the actions of the Board of Directors
  • Presentation, discussion, and approval of the annual financial report
  • Discussion about any other business
  • Elections for the new Board of Management

Α detailed agenda will be sent together with the second mailing documents at the beginning of December. In the meantime, we welcome any suggestions from items to include from members at info@acceptcy.org.

Elections for the new Board of Directors

At the end of the General Assembly an Electoral General Assembly will follow for elections to join the Board of Directors.

The LGBTI community consists of people who belong to multiple communities and have other identities too, while facing different situations in their daily lives. With full understanding that the organization should represent all LGBTI persons, we are increasingly paying attention to the intersectionality and inclusion of all LGBTI persons coming from different backgrounds. Examples include people that come from different geographic regions of Cyprus, religion, ethnicity, age, physical ability, social and/or economic status.

For this reason, we particularly welcome applications from people of multiple identities that are ready to contribute to our work on educating and promoting the rights of all of us. Diversity is an important challenge that we have embraced at Accept. But this is not something we can achieve alone. We need others to step up to the challenge too.

The Board of Directors Accept – LGBTI Cyprus normally consists of 8 members. Elections are held every year for four seats, where half the members of the Board are elected for a two-year term. In this way, only half of the Board departs following the end of their term each year, thus allowing seamless continuity of the work of the Board from the members that remain, reducing at the same time the chances of fatigue setting in for several members simultaneously.

In 2019 several board members voluntarily resigned from the board and were replaced with runners-up from the electoral process of 2018. Members of the board of directors who departed and for whom there were no further runners-up remained vacant, since the Board did not proceed with the selection of new members. According to the organisation’s constitution, the organisation can operate with minimum 5 members and currently the Board operates with 6 members.

(*) In this year's elections the full two-year term of 2 board members is concluded.

(**) In this year's elections, the full one-year term of Raphael Pelengaris, as was decided in the elections of 2018, is concluded.

(***) Chrysanthos Constantinides and Antonis Papageorgiou replaced Diomedes Kofteros and Constantinos Lakkotrypis, who withdrew from the board in May and June 2019 respectively. As runners up, they serve a term of office until the General Assembly 2019.

(****) Adrian Posea and John-Zacharias Theofanous withdrew from the board in July and August 2019 respectively, without replacement. These posts are also open for nominations.

Number of open positions during the General Electoral Assembly 2019

In total in this year's elections there are seven (7) seats available on the Board of Directors. Four for two-year and three for one-year terms. The first 4 candidates of those who asked to serve a two-year mandate, with the highest number of votes will receive a two-year mandate, up to the last quarter of 2021.  A second round of elections will follow with those who have asked to serve a one-year term and those who have not been elected in the first round but have received more than 20% of the valid votes. In case a candidate does not get elected to the Board, they will be a reserve as per the organisation’s constitution.

It is noted that as per the constitution of the organisation, as amended in 2018 due to the amendment of  the relevant  legislation concerning the running of organisations, voting by proxy is no longer allowed and all members who want to vote should attend the General Electoral Assembly in person.

Applications for candidates

Completed applications for candidates (attached to the present e-mail) shall to be sent to elections@acceptcy.org, any time from today until 29.11.2019 at 16.00, and will then be sent out to members alongside the agenda upon the second Μailing in the beginning of December. Word limits defined in the application need to be adhered to.

Candidates need to secure at least 20% of valid votes, otherwise their selections as members of the Board or runner-ups is invalid.

No member of the Board can be up for re-election if at the end of the term of their reelection they would have served more than six consecutive years in the Board. This year, Anastasia Andreou completes six consecutive years of service in the Board and thus cannot reclaim a position in this electoral process.

Full members have the right to submit their candidacy, but also vote, after two months have passed since completing their registration as members, provided they have settled their subscription fees before the date of the election.

Further, during the Annual General Assembly any member can:

  • Suggest the introduction of new Regulations
  • Request amendment or repeal of existing Regulations
  • Raise any issues or motions concerning the operation or the objectives of the Association.

Any members, who wish to add items to the Agenda, should contact the organisation at info@acceptcy.org. All Full Members with settled obligations (provided that two months have passed since completing their registration as members) have the right to vote during the Annual General Meeting. Any members, who have not yet settled their past annual subscription fees, can do so on the day of the Annual General Assembly.

We remain at your disposal for any further information required.
